ESSENTIAL DUTIES AND RESPONSIBILITIES: % 70% Function Administrative  Initiate Job Opportunity Bulletins for Northern Division and Headquarters vacancies. Organize and coordinate new hire and promotional interview process for centralized recruitments. Plan, organize and schedule interview date(s), time(s), location(s), and participants. Compile and assemble the hiring interview package material for interview panel which includes copies of applications, interview questions, and rating standards/guidelines. Contact candidates for hiring interview, provide instructions, and respond to questions. Compile and assemble receptionist hiring interview package which includes required forms for candidates to complete. Provide instructions to receptionist to facilitate exams and interviews. Send letters to candidates. Distribute and collect Personal History Statements, authorization waiver forms, and Live Scan fingerprinting forms. Process CLETS, DMV, credit reports and other related documents for sworn and non-sworn candidates selected for background process. Consults with HR to confirm candidate eligibility and request salary determination. Administer the POST PELLET-B examination for sworn candidates. Ensure all forms/documents are complete and accurate, identify and reconcile errors, and submit background package to Professional Standards Unit (PSU) Supervising Agent. Track and monitor all sworn and non-sworn backgrounds. Prepare and collect all conditional offers of employment and drug history questionnaires for candidates with approved backgrounds. Coordinate and schedule drug screenings. Administer the written psychological exam to all approved sworn applicants and confirm psychological summary is received and submitted to CalHR. Prepare medical paperwork for sworn and non-sworn candidates. Communicate with HR on the status and approval of sworn psychological and medical exams. Coordinate and schedule polygraph examinations for sworn candidates. Maintain documentation regarding hiring process to ensure CalHR requirements are met and documented. On a continuous basis, respond to incoming telephone calls and inquiries on status of background candidates, requests for documents and/or additional information, and general information on background process. Respond to and handle, as appropriate, sensitive and confidential information received from the public, state and local agencies. Identify issues requiring immediate action and advise supervisor. Coordinate with supervisor to ensure that all information compiled in relation to backgrounds is in compliance with Department and POST requirements and procedures for sworn candidates. Draft and prepare miscellaneous personnel correspondence.
