Document Templates load automatically for the specified document type, while Dictation Templates load on demand for a given Dictator. To denote a template field, square brackets are used. The most basic field would be [] – an open and close square bracket denoting a place in the template that the transcriptionist can type. There are many other special types of fields, described below. [x:default(y)] - Fill in the blank. Any value can be substituted for x, and a dialog will prompt for the text to replace it with. If the optional :default() function is used, the dialog will have the default data filled into the dialog automatically. Otherwise, the dialog comes up with a blank entry area. Auto-Fill Template Fields The following are fields that can be set to Auto-Fill by the InScribe program. When these fields are specified, the transcriptionist can have InScribe automatically use field values that are already specified to fill them in. Capitalization does not matter, but spelling, spacing and punctuation do. (For example, [Patient ID] and [PATIENT ID] are both okay, but [PatientID] without the space is not.) [Patient ID] - Fills in with the Patient ID specified in the fields on the left. Will not fill in if blank. [Patient Name] - Fills in with the Patient Name specified in the fields on the left. Will not fill in if blank. [Physician Name] - Fills in with the Provider's Name as it appears in the top list. [Gender:m/f] - Places a gender description in the text. If [Gender] is specified without the optional :m/f section, male and female will fill in based on the gender specified in the fields on the left. If the opional :m/f section is added, the value before the slash is used for male patients and the value after the slash is for female patients. (For example: [Gender:him/her] would choose "him" for male patients and "her" for female patients.) [Age] - Calculates the age in years of a patient based on Appointment Date. If Appointment Date is blank, it bases the age off of Dictation Date. [Birthdate:format] - Fills in with the Birth Date as it appears in the fields on the left. Will not fill in if blank. The optional :format section can be used to specify the format of the date. Default format is is mm/dd/yyyy. [Date:format] - Fills in with the Current Date of the PC. The optional :format section can be used to specify the format of the date. Default format is mm/dd/yyyy [Service Date:format] - Fills in with the Appointment Date as it appears in the fields on the left. If blank, it fills in with the Dictation Date. The optional :format section can be used to specify the format of the date. Default format is mm/dd/yyyy [Dictation Date:format] - Fills in with the Date Dictated. The optional :format section can be used to specify the format of the date. Default format is mm/dd/yyyy For all date fields, you can design your own :format value with the following parameters: m, mm, mmm, mmmm = month (1, 01, Jan, January) d, dd, ddd, dddd = day (2, 02, Wed, Wednesday) yy, yyyy = year (00, 2000) other characters = display as typed For example: m/d/yy = 1/2/00 mm/dd/yyyy = 01/02/2000 dddd, mmmm d, yyyy = Wednesday, January 2, 2000 Multiple Choice Fields [a|b|c:default(b):multiselect(and)] The multiple choice field type will bring up a dialog with each option separated out to choose from. Each option is delimited by a pipe symbol "|". This gives the transcriptionist a list of values that should be used in this field. The :default() function is optional, and will identify which of the selections should be highlighted automatically when the dialog opens. If this function is left blank, the first item is chosen by default. The :multiselect() function is optional and will allow the transcriptionist to choose more than one of the options. The “and” value would be the word that is used to separate the last to values in a list (e.g. “a, b and c” or “a, b or c”). Additional Options Any of the fields specified (with exceptions noted) can have the following functions appended to the end. :name(value) – this function will cause the InScribe program to prompt the transcriptionist for the value, which will be stored as a distinct data field of the name in the value section. :caption(value) – this function will cause the InScribe program to prompt the transcriptionist for the value, but will not store it as a distinct data field. When used in conjunction with the :name() function, it will produce a prompt with the value of the caption function as the title of the window, but will store the typed value under the name given in the name function. :noprog() – this function will prevent the template from moving to the next field automatically, even if the transcriptionist has her program set to automatically move from field to field. :hidden() – this function will cause the typed value to be a distinct data value, which will be saved in a distinct data field, but will not display the value in the document itself. :use(value) – this function will auto-fill with the value of a distinct data field that was previously filled in. :if(value=comparison,true,false) – this function will compare the value of a distinct data field with the comparison value. If they are equal, whatever is in the true section will auto-fill. If they are not equal, whatever is in the false section will auto-fill. The word PROMPT can be used in the true or the false to require a prompted value in the given situation.
