Position Title: Staff Accountant Reports to: Senior Director, Finance

ORGANIZATION INFORMATION ASPEN is dedicated to improving patient care by advancing the science and practice of clinical nutrition and metabolism. Founded in 1976, ASPEN is an interdisciplinary organization whose members are involved in the provision of clinical nutrition therapies, including parenteral and enteral nutrition. With more than 6,500 members from around the world, ASPEN is a community of dietitians, nurses, pharmacists, physicians, scientists, students, and other health professionals from every facet of nutrition support, clinical practice, research, and education.

ROLE DEFINITION The Staff Accountant is responsible for the day-to-day accounting functions for ASPEN, a 501(c)3 membership organization and their affiliates: the ASPEN Rhoads Research Foundation (FDN) which provides grants to further nutrition research, and the National Board of Nutrition Support Certification (NBNSC) a clinician certification organization. This is a hands-on, full service accounting role for a proven accountant who is looking to establish themselves in a role with advancement opportunity. Specific areas of responsibilities are as follows:

Association Management Software (AMS) Management ASPEN and FDN receive funds daily through its AMS system. Payments are received for membership dues, conference registrations, publication sales, e-books and app sales, chapter dues, among other areas. The Staff Accountant will then import transactions into ASPEN's Intacct accounting system daily and track the funds processing through merchant service accounts. The Staff Accountant is responsible for researching and resolving any reconciling items in the batch processing.

Accounting Procedures The Staff Accountant is responsible for the following accounting tasks as part of ASPEN's (and affiliates') procedures.

? Assists the Senior Director, Finance with the implementation and enforcement of fiscal policies, procedures and internal controls.

? Imports transactions received from AMS into Intacct, and posts deposits into Intacct. ? Scans incoming checks and prepares for deposit. Researches checks if nature of payment is not

known. ? Prepares batches for processing that are not automatically downloaded to the AMS. ? Processes credit card refunds as needed. ? Setup of new vendors in (online bill payment system). ? Processes accounts payable transactions through . ? Performs monthly bank reconciliations for all cash accounts. ? On a monthly basis, reconciles A/R, A/P, Undeposited Funds, Investments, Deferred Revenue,

Prepaid Liabilities, Due to/Due From between ASPEN and affiliates. Prepares and updates workpapers for each of these accounts that tie to organization's Trial Balance.

? On a quarterly basis, reconciles chapter dues payments to prepare for ACH deposits to each chapter.

? Drafts monthly journal entries for investment activity for ASPEN and affiliates ? On a monthly basis, reconciles and creates intercompany invoices for ASPEN's affiliates. ? Assists Senior Director, Finance with other account reconciliations as needed. ? Monitors accounts receivable for past due accounts and assists with collections as needed. ? Prepares write-off entries for any uncollectible amounts. ? Drafts journal entries for month-end close as requested by Senior Director, Finance, ? Assists Senior Director, Finance with internal financial statements, budget forecasting and

analysis of program revenue and expense as needed. ? Assist at annual conference with registration, bookstore or other areas as assigned. Responsible

for batch set-up and cash on site reconciliation.

Year-end Audit and Tax Preparation The Staff Accountant is responsible for preparing schedules and workpapers for ASPEN's year-end audit, and assisting the Senior Director, Finance during the audit and with preparation of the 990 as needed.

QUALIFICATIONS

An ideal candidate for this role will possess the following skills: ? Bachelor's degree in accounting, business, or related field required. ? 5-7 years of previous accounting experience, with non-profit experience for at least 3 years. ? Strong knowledge of generally accepted accounting principles (GAAP) ? Knowledge of Intacct software, or similar accounting software packages ? Strong knowledge of Excel, including the ability to write formulas, create and use PivotTables ? Experience with working with an organization with affiliates is a plus ? Superior attention to detail, with excellent analytical skills ? Strong oral and writing communication skills ? Accountability, integrity and strong sense of professionalism
