2021 ACA Shipping Procedures

❖ Ship completed pledge envelopes directly to the gift processing company after Commitment and Follow-Up Weekends using the FedEx materials provided. (See notation below if you collect fewer than 50 envelopes during Commitment Weekend.)

❖ Call to arrange FedEx pickup. NOTE – you can also drop off at a FedEx location OR any Walgreens location (go to the photo department) if you have one close to your parish.

❖ Do not use leftover FedEx labels from previous campaigns—the information has changed.

Commitment Weekend: February 13-14, 2021

❖ 50 or more envelopes - If your parish collects 50 or more In-Pew envelopes during Commitment Weekend, ship the completed envelopes directly to the gift processing company using the FedEx supplies provided. Enclose a Parish Transmittal Form in each package. (A sample Parish Transmittal Form is at the end of the parish preparation manual and available online)

❖ Less than 50 envelopes - If your parish collects less than 50 In-Pew envelopes during Commitment Weekend, do not ship them until after Follow-Up Weekend. Hold the envelopes; combine them with those collected on Follow-Up Weekend, and ship as directed.

Follow Up Weekend: February 20-21, 2021

❖ All envelopes - FedEx all In-Pew envelopes collected during Follow-Up Weekend (and any In-Pew envelopes not shipped after Commitment Weekend) directly to the gift processing company regardless of the count. Please ship within one week. Enclose a Parish Transmittal Form in each package.

After Follow-Up Weekend

❖ All remaining envelopes - All subsequent pledge envelopes should be shipped to the Diocese of Madison using the mailing labels provided. These labels are located in the shipment that was sent to you with the FedEx materials. The Diocese of Madison labels should only be used after your initial shipments have been made to the gift processing company. Enclose a Parish Transmittal Form in each package.

How to Ship using FedEx Supplies

Send initial shipment(s) via FedEx to:

You will need the following:

• Parish Transmittal Form (located in Fed Ex Shipping packet)

• FedEx Paks with label (located in Fed Ex Shipping packet)

• Your completed In-Pew Pledge Envelopes

1. Parish Transmittal Forms are located in your FedEx Shipping packet.

Fill out a Parish Transmittal Form for each package you ship. Record the quantity being sent on the corresponding line. Please send only completed In-Pew Pledge Envelopes--do not send blank envelopes to the gift processing company.

2. Place your completed pledge envelopes and a Parish Transmittal Form in the FedEx Pak provided. Please fill each FedEx Pak as full as possible. If you are shipping more than one package, please make sure to put a transmittal form in each package.

3. Your Fed Ex paks will now come with pre filled labels that are already applied to the pak – there is nothing that you will be required to fill out. Count, bundle the envelopes in packs of 50, fill out transmittal form and put envelopes and transmittal form into paks.

4. Call FedEx to request a package pick up (instructions on next page), drop off at a FedEx retail or drop box location, or go to any Walgreens (go to the photo department) – they will scan your package and require an email address to email your confirmation to.

5. Due to Covid, Fed Ex is asking that if possible you utilize the Walgreens Photo Centers or Fed Ex Drop Box Locations – to see if there is a location near you, go to and enter your zip code.

FedEx Pickup Instructions:

To schedule a pick up online go to:



Scheduling a Pickup by Phone follow the instructions below:

1. Call FedEx at 1-800-463-3339. Call no later than 3:00pm.

2. You will be asked why you are calling:

a. Say “Schedule a Pickup”- submit track # off package if needed.

3. You will be asked for an account number:

a. Say that you are prepaid and no account number is needed.

4. You will be asked what type of shipment you have-

a. Say “Express” (you are shipping everything FedEx Express 2day).

5. You will be asked where the package is to be shipped and will be given the default address for the account number (the Diocesan offices at 702 S High Point Rd, Madison) You will be asked if this is the correct location for this shipment:

a. Say “No.” You will be transferred to a FedEx representative for further assistance.

6. The FedEx representative will ask how they can help you:

a. Say “I would like to schedule a pick up for an Express Shipment”.

7. The representative will then ask you the following questions (the order in which the questions are asked may vary):

a. What is the account number? Say prepaid

b. What type of shipment? Say “Express”

c. Are you shipping from a business or residence? Say “business”

d. What is the phone number of the pick up location? Provide a phone number you can be reached at in case of questions.

e. What is the name of the person calling for pickup? State your first and last name.

f. What is the address of the pick up location? State the address from which you need the item picked up.

g. How many packages? State the total number of packages you are shipping for this account only.

h. What is the approx weight? Estimate the weight or say “less than 20 lbs”

i. Is the shipment ready now? Say “Yes”, or “No”. If no, give a time during the day when shipment will be ready.

j. What is the latest time FedEx can pick the package up? Give the latest possible time a FedEx driver will be able to access the package. (Please do not leave package outside or unattended.)

k. Where is the package located at the given address? Give any special instructions necessary. Ex. room number, front desk, back door, entryway, etc.

l. How will you be paying for this shipment? Prepaid

m. Finally, they will review your pickup request and ask you if everything is correct and if they should go ahead and schedule the pickup. If everything is correct, say “Yes” or if something is not right or you aren’t sure, you say “No” and advise the representative on how you would like to proceed.

8. When this pick-up scheduling process has been successfully completed, you will be given a pick up confirmation number. Important: If you do not receive a confirmation number, your pick up has not been scheduled. If pickup has not been scheduled, repeat process.

If you have any issues at any time while processing the pickup

request, you can always redo it by saying “No” to the last question

or hanging up and calling back.
