Communications and Operations (Manager - Senior Director)Position DescriptionSupervised by:National Director, VP, or EVPStatus:ExemptSupervises:As delegated Grade:6 -9 (see job family below)Location: InterVarsity’s National Service Center (NSC) – Madison, WI or RemoteTo advance the purpose of InterVarsity, this position will provide project management and operational support to the assigned supervisor, including management of annual plans; and assist in completing regular communications initiatives on behalf of supervisor.MAJOR RESPONSIBILITIESPersonal:Be a maturing disciple of Jesus Christ: growing in love for God, God's Word, God's people of every ethnicity and culture, and God's purposes in the worldMaintaining spiritual disciplines for personal and ministry growthModeling wisdom and maturity in the balance of family, church, and ministry lifeProcess and Project LeadershipContribute to the effectiveness of the ministry/department and organization through:Analyzing current ministry/department operating methods and proactively proposing cost-saving and efficiency improvementsMonitoring, coordinating, and managing events, projects, task forces, and committees, related to the department’s goals, objectives, and mission, to include development and follow-up work as neededWorking with other teams and leaders to accomplish InterVarsity objectivesSetting agenda for team meetings, ensuring objectives for meetings are met efficiently and effectively and that follow ups are managed and monitoredProviding excellent project delivery that is on-time, on-scope, on-budget, and with complete documentation/access to necessary resourcesAct as “air traffic control” for business processes emanating from ministry/department to ensure cross-departmental coordination, appropriate change management, and process improvement both within department and in collaboration with other departmentsEnsures successful completion for specific projects sponsored or led by supervisor, as requestedComplete all other duties as assigned by supervisorOrganizational Communication Communicate with a wide variety of internal and external audiences, ministries, departments, and organizations on behalf of supervisor and other members of the ministry/department Leadership TeamParticipate in team meetings, creative brainstorming and evaluation sessionsBe proactive in enhancing communication with leaders and other staff, and external constituents as appropriate on behalf of supervisorProactively improve communication between ministry/department and other InterVarsity departments by engaging in social media on behalf of supervisor and other team members; by coaching team members on field communications strategies and by drafting/reviewing communication from department to other departments and to the fieldDraft and keep records of various forms of correspondence and communications on behalf of supervisorDraft and expedite team-wide communication on behalf of supervisor in preparing communication relevant for team eventsDevelop team prayer letter templates to support group fundraising activities; assist supervisor in proactive and regular communication with key personal and departmental donorsIn partnership with Customer Service, create and update relevant content and resources for ministry/department websites to better market the department’s capabilities and servicesResearch, update, and edit historical documents for print and web communicationsAssist supervisor with the production and distribution of regular electronic communications for internal and external distributionDevelop and maintain a funding base and prayer supportRaise a portion of salary in an amount or percentage agreed upon with SupervisorCommunicate regularly with current and potential donors, churches, prayer support team members, friends and family regarding ministry with InterVarsityQUALIFICATIONSAnnually affirm InterVarsity’s Statement of FaithCommunication and Relational SkillsStrong evidence of high Emotional Intelligence competency Demonstrated ability to navigate power and relational dynamics in a multi-layered organizationDemonstrated ability and commitment to work in a diverse team environmentPossess excellent social, verbal and written skillsOrganizational and Project Management SkillsDemonstrated exceptional organizational skills; two or more years strongly desiredMinimum of two years of experience with significant administrative/operational responsibilitiesCOMMUNICATIONS & OPERATIONS JOB GROUPCommunications & Operations Manager: Level 6This is an entry level/developing Communications & Operations role that has no supervisory responsibilities. The Manager role is focused on independent projects that may require some direction and decision from the supervisor. Projects will be more tactical in nature. This level may still be learning and developing understanding all the Major Responsibilities of this position. An Associate’s or bachelor’s degree is munications & Operations Senior Manager: Level 7The Senior Manager-level position typically reports to a National Director or NLT member. This level has demonstrated competence in tactical and smaller-scoped projects and is proficient and knowledgeable in most or all areas of the Major Responsibilities. The Senior Manager may also have limited supervisory responsibilities. Projects may involve a broader focus than the previous level. This role is recommended to have 1-2 more years of experience than that of the Manager role. A bachelor’s degree is munications & Operations Director: Level 8The Director level demonstrates proficiency in all areas of the Major Responsibilities and reports to an NLT member or above. Projects will be more frequently strategic and higher-level in focus. It is preferred that the Director has five or more years of InterVarsity experience. This position may also have supervisory responsibilities. A bachelor’s degree is munications & Operations Senior Director: Level 9The Senior Director level demonstrates proficiency in all areas of the Major Responsibilities and reports to an Executive Vice President. The Senior Director has eight or more years of InterVarsity experience preferred. A graduate degree is preferred. Because this position represents the EVP with some decision-making, the following are duties specific to the Senior Director position:Act independently on behalf of supervisor while serving as a liaison with various constituents including other Executives, board members, NLT, staff directors, staff, donors, vendors and other external partnersDesign, organize, maintain, and archive a variety of complex processes, guidelines, schedules, paper and electronic files including confidential files, mailing lists, meeting minutes, and supervisor’s contacts, database, and major donor lists according to supervisor or independent guidelinesManage performance review cycle to ensure a high level of compliance with goal setting and performance review objectives; monitoring compliance and assisting supervisor in information gatheringSupervise logistical, support, and/or project staff on behalf of supervisor, as requestedAssist in developing, monitoring and executing annual plan aligned with ELT annual plan and other InterVarsity objectivesAssist supervisor with planning, preparation and execution of Board of Trustee responsibilitiesManage and monitor overall budget for department on behalf of supervisor and advise executive and leadership team of budget variances, raise concerns and propose adjustments as necessaryPerform other duties and projects, as assigned InterVarsity Christian Fellowship/USAFrame of ReferenceAll staff members subscribe annually to the Purpose Statement of InterVarsity:In response to God’s love, grace and truth:The purpose of InterVarsity Christian Fellowship/USA isto establish and advance at colleges and universitieswitnessing communities of students and facultywho follow Jesus as Savior and Lord:growing in love for God,God’s Word,God’s people of every ethnicity and cultureand God’s purposes in the world.This purpose is admittedly more limited than the Great Commission.
