EXTERNAL ADVERTISEMENTCOMMUNICATIONS AND PPPREFERENCENUMBERPOSITIONNo. of VACANCIESAVAILABLE50006426Petitions AdministratorONE (1) ONLYP 11R337 128.00 CTC (1 YEAR CONTRACT) REPORTS TO: Petitions Officer JOB PURPOSE To provide administrative functions for the petition's process by assisting in receiving petitions, registering petitions, corresponding with petitioners, tracking and monitoring progress of petitions in committees and providing administrative functions to the petition's process.Responsibilities:FINANCIALResponsible for raising and filing requisitions for all petitions related activities.RECEIVING PETITIONSAssist petitions officer with receiving petitions and enquiries.Assist with taking statements of potential petitioners. Capture received enquiries and petitions into prescribed forms. Provide procedural advice to potential petitioners. Screen the inquiries in terms of the Act.REGISTERING PETITIONSOpen a file for each petition. Allocate unique reference number to each petition. Record petitions in computerised petition register. Arrange translation of petitions where necessary. Acknowledge receipt and registration of each petition within a week of receipt.CORRESPONDENCEProvide progress updates to petitioners at predetermined intervalsRequest responses from Departments and other institutions to which petitions have been referred at prescribed timeframes.Advice petitioners of the dates of committee meetings. ADMINISTRATIONMaintain an electronic and manual filing system for all petitions.Assist with producing and circulating petitions documents. Produce reports on enquiries and new petitions for tabling at staff meeting.Ensure that closed petitions are archived. Responsible to capture updates on the tracking document. Provide all reasonable assistance on request by the Unit Manager and/or the Petitions Officer.INTERMEDIATE CONTACTInvestigate/Research the new enquiries which eventually become petitions. Organize the out of the Legislature hearings in Municipalities around Gauteng.STAKEHOLDER MANAGEMENTEstablish and maintain good working relationship with Chapter nine institutions, Provincial. Departments and the Local Government sphere. Facilitate stakeholder’s meetings. Establish contact with relevant organisations/institutions. Educate stakeholders about petitions processes.
