UNSW Athletics Club Funding Plan 2019-20 SeasonVersion 1.1Approved by the Committee XX/XX/XXLast Revised 10/10/2019DefinitionsThis Funding Plan is valid for the 2019-20 Track and Field SeasonThe ‘Club’ refers to UNSW Athletics Club.The ‘Committee’ refers to current elected Committee or Executive Members of the Club.An ‘athlete’ will refer to an individual meeting clause 2.1A ‘competition’ or ‘championship’ will refer to an event hosted by Athletics NSW, Athletics Australia or another organiser. It usually consists of several individual events over one or more days.An ‘event’ will refer to a single event or discipline occurring during a competition or championship. Decathlon and heptathlon or other combined events will be considered one event. ‘Interstate’ events will refer to competitions or championships held in Victoria, Queensland, Western Australia, South Australia, Northern Territory or Tasmania.It does not include events held in New South Wales or the Australian Capital Territory‘Athletics NSW’ and ‘Athletics Australia’ and the organising and governing body of athletics in NSW and Australia respectively‘Entry Fee’ refers to the online fee to register for a competition. It may include a base entry fee, team levy and other associated costs. For events where additional fees apply for entering more than one event, only the cost to enter one event will be funded except where specifiedIf a registration includes an early bird (or similar) fee, this will be assumed to be the cost of the event. Additional fees for late entry or ‘on the day’ (or similar) entry will not be fundedAthlete EligibilityThe athlete must be a current, paying member of the Club, as outlined in the Club’s ConstitutionThe Committee reserve the right to make athletes not UNSW students, alumni or staff members ineligible to receive fundingThe athlete must meet the following causes to be receive funding for a particular competition.The representative must compete in the UNSW Athletics Uniform and be allowed to be photographed for UNSW Athletics Club publicationsThe athlete must not be receiving funding from Athletics NSW, Athletics Australia or the competition organiser to participate in an event.Should the athlete receive prize money or any other prize with financial value, they will not be eligible for funding.If the financial gain of an athlete from 2.2.2 and 2.2.3 be less than the value they would have received from the Funding Plan they will still be eligible for funding for the positive difference between the amount of financial gain and the amount of funding they would have receivedThe athlete must compete in an event at the competition, and their result must be included in the official results for the competitionIn extenuating circumstances, including, but not limited to, pulling out of the event after already flying to the competition. A decision on any athlete receiving funding under these circumstances will be decided by a vote at a Meeting of the CommitteeAthletes should keep all receipts associated with entry fees and interstate travel costs and be able to produce them to the Committee on requestChanges and GrievancesChange to this policy will be decided by the Committee, and shall be voted upon by the Committee MembersThe Committee may vote to decrease funding amounts without consultation with athletes to ensure the Club remains in a good financial positionDisputes to the policy will follow the Grievance Procedure in the ConstitutionTypes of competitions or championshipsTeam CompetitionsCompetitions where athletes compete in events as part of a team representing the ‘Club’ at events held by Athletics NSWRegular CompetitionsCompetitions where athletes compete individually at a non-championship level at events held by Athletics NSWNSW CompetitionsCompetitions where athletes compete individually at a NSW championship level. NSW titles must be awarded in individual event an athlete is competing in to be considered Australian CompetitionsCompetitions where athletes compete individually at an Australian championship levelAustralian titles must be awarded in individual event an athlete is competing in to be consideredTeam CompetitionsThe competitions included in the funding plan for this type of competition are:NSW State Relay ChampionshipsNSW Club ChampionshipsThere is no maximum amount of funding set by the clubTeam and Relay entry fees will be paid by the Club in fullTeam and Relay registration must be approved by the Committee or an organising delegateRegular CompetitionsThe competitions included in the funding plan for this type of competition are:‘All Comers’ competitions held by Athletics NSW. There are seven of these planned for the seasonTreloar Shield competitions held by Athletics NSW. There are five of these planned for the seasonAdditional competitions will only be funded upon approval by the CommitteeThe pool of funding for this type of event is:Maximum of $1000Should the maximum amount in 6.2.1 be reached it will be distributed equally amongst athletes, weighted by the amount of regular competitions the athlete has competed in. For example, if an athlete competes at 9 competitions and a total of 125 competitions were competed at by all athletes, they will receive $72 (9125×$1000).An athlete will receive $10 for each competition enteredAn athlete may receive up to $120 for competing in regular eventsCompetitions requiring separate or invitational entry occurring on the same day/s as a regular competition such as the Albie Thomas Mile or ‘Track Classic’s’ are not included in this part of the funding planNSW CompetitionsThe competitions included in the funding plan for this type of competition are:NSW Open Championships held by Athletics NSWNSW Masters Championships held by Athletics NSWNSW Junior Championships held by Athletics NSWNSW 5000m Championships held by Athletics NSWNSW 10000m Championships held by Athletics NSWNSW Combined Event Championships held by Athletics NSWAdditional competitions will only be funded upon approval by the CommitteeThe pool of funding for this type of event is:Maximum of $1000Should the maximum amount in 7.2.1 be reached it will be distributed equally amongst athletes, weighted by the amount of entry fee paid by the athlete (capped at two competitions). For example, if an athlete competes in two NSW Championships and pays $48 when a total of $1200 of entry fees was paid by all athletes (highest two entry fees where applicable), they will receive $40 ($48$1200×$1000).An athlete will be funded the amount equal to the event fees including registration for up to two individual events and for up to two NSW competitionsThis amount of funding is to be confirmed by the Committee once fees are finalised by Athletics NSWShould an athlete compete in more than two NSW competitions, the two events with the highest entry fees will be paid for by the club. Australian CompetitionsThe competitions included in the funding plan for this type of competition are:Australian Track and Field ChampionshipsAustralian Masters ChampionshipsAustralian Combined Event ChampionshipsZatopek:10 (10,000m Championships only)Albie Thomas Mile (Mile Championships Only)Melbourne Track Classic (5000m Championships Only)Australian 20km Race Walking ChampionshipsAdditional competitions will only be funded upon approval by the CommitteeThe pool of funding for this type of event is:Maximum of $2000Should the maximum amount in 8.2.1 be reached it will be distributed equally amongst athletes, weighted by the amount of entry fee paid by the athlete (capped at two competitions). For example, if an athlete competes in two Australian Championships and pays $48 when a total of $2400 of entry fees was paid by all athletes (highest two entry fees where applicable), they will receive $40 ($48$2400×$2000).An athlete will be funded the amount equal to the event fees including registration for up to two individual events or $50 (whichever is lesser). This can be claimed for a maximum of two Australian ChampionshipsShould an athlete compete in more than two Australian competitions, the two events with the highest entry fees will be paid for by the club. If the at least one of the Australian Championship competed in is interstate, then the athlete is eligible to receive up to $200 in additional funding.Interstate events are defined as per 1.7The exact amount is determined by equally distributing funds in an ‘interstate pool’ of funding to all eligible athletesThis pool is equal to the remaining funds in for Australian Competitions after all entry fees have been accountedFunds are distributed equally regardless of how many interstate competitions an athlete competes inAthletes may be required to show proof of flights, hotel bookings and other travel expenses showing they have spent an amount equal to or greater than the funding they can receive. It is not intended that the funding provided be used to improve the financial position of an athlete, but rather help cover costs of attending a competition. Luxury travel costs may not be covered under the funding plan.Funding PaymentFunding will be paid as soon as possible after the season has concluded, subject to the availability of the Treasurer and approval of all the documentationAlthough the Committee will endeavour to keep track of athletes competing, it is the athlete’s responsibility to ensure that the Club has been notified of all fees paid and competitions enteredOnce funding has been paid for each event type, no further funding will be paid under any circumstances, expect when an error has occurred due to the actions of the Club ................
