Present: Amy Bridge, Melissa Theiss, Paige Newquist, Adam Krahn, Matt Megan, Catie Williams, Jason Sarte, Peter Nelson, Jon Oakes

I. Call to Order (AK)

AK: I call this meeting to order.

II. Secretary’s Report (AB)

a. Approval of Minutes

AB: I sent the minutes out earlier today. Any suggestions?

AK: I think a few of us haven’t had time to read them over yet, so why don’t we delay voting.

b. Attendance for Pärt

AB: We have some conflicts with this concert. As you remember, Morgan cannot sing because of a performance for Sunday in the Park with George. It’s also the first night of Passover, so Natania, Gus, and maybe Lucy won’t be able to sing because of that. We’re also waiting to find out whether Maura and/or Parker will be gone that weekend for crew – it depends whether they make specific boats. Also, it’s unclear at this point whether Mia will be singing… I’ve been having trouble contacting her.

AK: Can we talk about Ryaan?

MM: Andy was wondering whether we could ask Ryaan to sing the Part concert with us. We said that we didn’t really feel comfortable about such recent Collegium members coming back for individual concerts. It propagates the messages that people can come in and out of Collegium as they please.

AK: I think we just need to continue to establish with Andy the proper communication channels between him and EC. He needs to know that EC as a whole should issue a decision before he extends these kinds of invitations.

MM: Just a note about Ryaan singing last night, that was a last minute thing since people were sick. Andy originally had respected our decision.

JO: I think that newies are pretty clear on the concept that Collegium is a yearlong thing. Generally I think I would veer away from asking people to ring, but seeing as this is a hired gig, I think it’s also reasonable for us to work to put forth the best product we can.

MM: I think we need to trust Andy’s musical decisions, so if he thinks it’s necessary to have extra people, than we should support that. He also has been good about respecting our decisions when we tell him.

AK: I think we have to be wary about the precedent because for instance we let Ryaan take cycles off last year, and then this year we’ve had Ellen and Sophie taking cycles off this year.

CW: I think that professional ringers are not weird, so what’s weird about this is that they’re recent alumni.

MM: I think though that it will be different when these are people we all know and who will be coming to all the rehearsals rather than just concert week like professional ringers do.

CW: I think it’s ultimately Andy’s decision to decide how much flux he wants in Collegium attendance, so our job is to advise him on all the pros and cons of both options.

AB: But it’s also an issue of group morale and dynamics, which is generally EC’s job to monitor.

PNewq: I think it’s not fair to call people like Sophie ringers since they sang in the group earlier this year.

AK: Matt, when you meet with Andy, could you talk to him about the conversation we’ve had this evening, so he knows we’re concerned about it? And that way he can really make sure that this is musically necessary.

MM: Sure

CW: I think we should treat this particular Part concert individually and then we can work out a long-term policy with Andy at a later time.

III. Cologne Choir (AL)

a. Lessons for next time

AK: Anh couldn’t be here tonight, but I thought we could all just talk briefly about what went well, what went poorly for this concert. It’s nice to record our thoughts on these things to create instititutional memory and so that people could consult these minutes for pointers.

MM: I think the social events were a lot of fun, and I think we all feel like we bonded with this choir more than just letting them sleep on our couches which is great!

MM: I wanted to touch on the banquet since we didn’t have enough HUHDS food and ended up spending $110 on pizza. We could only give them the Harvard IDs of people who were coming, and then we had all the Cologne people to feed, so there wasn’t enough.

JS: I guess we should have anticipated the food shortage since we knew we’d have all the Cologne people…

CW: I think maybe some dining halls tend to be more generous than others? I feel like Currier in particular has always given us a lot of food.

AB: I think we should have had more pre-concert time in the church since it was very chaotic. I know we were trying to cut down on the hours Collegium had to commit, but I also feel like there just wasn’t enough time…

AK: We had a great audience, too!

CW: Amy, please thank your church for us!

AB: I will!

IV. Manager’s Report (MM)

a. Pärt

i. Publicity around Harvard

MM: I’ll obviously talk to Morgan about this, but I wanted to ask about our pub protocol since this is another off-campus concert. I think we should not go overboard since BMOP is supposed to be doing the publicity.

CW: I would be really hesitant to spend any money or too much time since we’re a contracted choir for this.

MM: I think we would ask them to send us 20 posters that we could just put up around the music department and stuff. I think it’s worth doing something

AK: I definitely agree. We’re singing in something cool and it’d be great for our friends to come see us! So we shouldn’t spend any money, but we can send emails and encourage our friends.

AB: People can put stuff up in their houses.

AK: Collegium members who are involved at NEC can put stuff up there.

ii. Transportation

MM: I don’t think all of Collegium would fit on an MBTA bus, so I think we should take the T. Adam, can you deal with swiping people in again?

AK: Sure. What’s the concert attire?

MM: I’m assuming formal. I’ll let you know if that changes. Also, I had thought it might be nice to do some sort of after party, but it’s Good Friday, so that maybe wouldn’t be appropriate.

JS: I was thinking we could all go out to dessert around NEC, or maybe we could come back and have a movie night. Holden Formal is the next weekend, so people will get their party dose then.

b. Visitas

i. Concert on Apr. 21

MM: This is a pretty low-key concert for visiting freshmen. We’re going to hold it in Holden Chapel this year. Hopefully EC members can stay for the RCS and HGC portions of the concert for support purposes.

ii. Publicity

MM: I think in the past, we’ve done one poster run the morning of the concert, and we also put in an event in the handbook prefrosh get.

CW: Perhaps flyers would be more helpful for this than posters. We can stand out in front of the science center handing out quarter sheet flyers to passersby.

MT: We should definitely target music-related students because they are more likely to be hosting prefrosh who are interested in music.

iii. Pre-frosh Activities Fair

MM: There’s also an activities fair that we’ll hopefully get a table at. We’re waiting for lottery results. So we’ll get people to man that.

iv. Reception

MM: We’re also planning a pizza reception for after the concert.

V. VP’s Report (JS)

a. Holden Matchmaking/Formal

JS: Catie offered to help with matchmaking, which is great. Cory and Daniel Rogers sent me a draft today of the survey. Hopefully that’ll be sent out soon. It’ll be in the Sheraton Commander again this year which worked really well last year. We’re planning to have two pre-formal events, one in the quad and one on the river. We’ll probably assign people to one of those choices.

b. Upcoming weekend B&MN?

JS: We still have some money in the Beverage and Movie Night budget, so I was thinking about doing one this Friday night.

VI. Other Business

a. End-of-year Banquet

CW: Adam and I are working to find a date. We’re thinking earlier in reading period is better.

MM: I think we should get it on people’s schedules soon.

CW: We also generally do elections on the same day, so we should think about nominations soon.

b. Quick thoughts on last night’s apparel

AB: I thought we all looked great!

c. What is on Jon Oakes’ mind?

JO: I also thought last night’s semi-formal looked really good. I also cleaned my room today.

MT: Another couple of notes. First, Matt I’ll forward you a list of music Andy wants us to return on Tuesday, so could you include that in your email?

MM: Sure.

MT: Also, I’m concerned that I think our library needs to be cleaned because if there are things stacked on top of the bookshelves that breaks fire code.

AK: Cleaning the library would be a great project for dead week.
