NRR BOARD AND VOLUNTEER POSITION DESCRIPTIONS

2020 SEASON

President – KAY VILARDI

• Oversees/manages all other positions and objectives

• Presides over monthly meetings and any special board meetings as are called from time to time

• Oversees Long Range Planning Committee and activities

• Serves as community liaison/point person for all dealings with Springpoint (the atrium), Red Bank Boro, Oceanfirst, Riverview Towers, etc.

• Requests any board member to fill in when unable to perform duties

Secretary/Vice President – ILENE KELLERT

• Assists president as required or asked to

• Takes minutes at monthly meetings, distributes to all board members, and for publication in the newsletter (on NRR website)

• Manages action items to closure

Treasurer – PAUL TOSCANO

• Maintains the club checkbook (makes deposits, writes checks)

• Presents financial reports at the end of the year

• Reports on NRR’s financial status at monthly meetings

• Oversee credit card, on-line payments; interface with credit card companies and banks, with assistance from the operations manager

• Participates annual budget process

• Manages QuickBooks - records club income, expenses and equipment purchases - used for budgeting, reporting financial status and preparing annual corporate tax filings

• Obtains US Rowing annual membership including liability insurance for equipment and special events and D & O Insurance to cover board members

• Obtains NJ motorboat, trailer and truck registrations from NJ DMV

• Obtains insurance for boats, trailers and truck

• Obtains Workers Compensation Insurance for employees

• Coordinates claims made with insurance companies

• Funds and Coordinates payroll system

• Meets with accountant two to three times a year for purposes of maintaining accurate records and submitting annual federal tax forms, NJ nonprofit tax forms & annual report.

• Complete applications for boat slips, rentals, etc. including sending insurance certificates to property owners where NRR uses their facilities or has events such as parties

• Provides NJ Tax Exempt certificates (ST-5) to vendors for purchases

Payroll Coordinator/Corporate Liaison – SUSAN MELTSNER*

• Submits bi-weekly work reports to Paychex

• Mails paychecks to all employees

• Maintains all employee files

• Corporate representative for government notices and filings

Liaison to High/Secondary Schools/ Indoor Rowing Program – JOHN CRILLY

• Liaison for Navesink Indoor rowing regarding programs and practices

• Ranney

• RBC, CBA, RBR, Monmouth County Academies

• RFH Crew

• Junior programs/news/trends/opportunities

Community Outreach – KAY VILARDI

o ROAR (currently inactive program due to lack of resources)

o Cultivate contacts & coordinate with adult reps of Red Bank Youth Services

o Monmouth County Parks- manage yearly Learn to Row session for the campers

o Neptune Aquatic Center

Fund-raising - CLAUDIA LUCEY/JOHN CRILLY

• Develops annual fund raising plan and programs

• Recommends the number and type of activities

• Manages the implementation of events

• Organizes the Winter Party

Communications/Eblasts – MARIA RIMMELE

Marketing/Social Media - OPEN

• Recommends/plans publicity-generating activities

• Works with Ops Manager and social media volunteers to promote upcoming events; get media coverage of events and report on results of events including races

• Works with committee to create and advance an NRR messaging/branding strategy

• Is or coordinates activities of Social Media volunteer to develop and enhance NRR presence on Facebook and other sites.

Masters Program – LINDA ENSOR*

• Actively participates on NRR Programs Planning Team (responsible for defining/scheduling NRR ongoing programs and one-time events)

• Organize and coordinate the Masters Program.

• Create a Masters program description and recruit masters rowers for the program

• As part of NRR Programs Team, help develop, define and promote Masters training opportunities for all skill levels.

• Be the contact person for masters rowers with concerns or questions; bring masters issues to attention of the NRR board; ensure that masters rowers are updated about club issues, changes, etc.

• Before and during the season, identify races in which Masters rowers can participate

• Poll masters about races in which they are interested and available to compete

• Periodically meet with coaches and programs coordinator to develop practice schedules and coordinate boat usage.



Equipment/ Facilities Maintenance and Improvement Leader – PHIL FLEGO/KELLY MORGAN

General

• Supervises set-up, shut-down and ongoing maintenance and improvement activities

• Oversees rack assembly at the beginning of the season and disassembly at the end of season

• Inspects all structures and vehicles (such as racks for sturdiness), and makes or arranges for necessary adjustments (such as replacing padding and tie-down ropes as necessary

• Locate and schedule winter storage for boats

• Arranges for the service of launches and engines

• Instructs coaches & other authorized individuals in use of launches

• In collaboration with the Equipment Team Leader, performs repairs and maintenance on boats and launches as needed. Enlists and supervises additional volunteers to assist with the tasks.

• Serves as resource to Buildings and Grounds Team and Team Leader.

|Works with the Ops Manager, Coaches and Service Coordinator to most effectively obtain needed parts, volunteers, and |

|schedule work parties. |

|Manages oar inventory, maintenance and purchasing |

|Ensure proper oar placement in oar racks |

|Checks the equipment log book for reports of damage; reviews issues with [PHIL] to determine course of corrective action |

|Receives equipment tracking log sheets or feedback from coaches/masters from regattas to understand any equipment issues |

|Buildings and Grounds Supervisor – Charlie Gross* |

|Responsible for performing or coordinating volunteers who perform the following tasks: |

|Cleans out shed periodically |

|Maintain grounds, mow lawn, control weeds |

|Inventory and replenish supplies (all other than first aid or boat parts) |

Coaching - MARK MALONE

• Oversee recruiting and hiring of spring, fall and summer lead and assistant coaches;

• Assist in preparation of annual coaching budget

• Work with Programs Coordinator, Coaches and Masters Coordinator to define and schedule coached programs for youth and adults

• As necessary, meet with masters coordinator, head coach/youth coach and operations manager to develop practice schedules and coordinate boat usage.

• Active participant on the NRR COACHING TEAM that works with the Program Coordinator, coaches and other board members to establish coaching guidelines and policies

Volunteer Coordinator – DOREEN JAKUBCAK

• Develop database to track members interests and volunteer service hours performed

• Provide periodic reports to the board summarizing service hour status

• Identify potential volunteers to board members for support in their respective areas

• Work with the Ops Manager to set up the shed bulletin board and file storage areas at the beginning of the season; periodically check during the season to provide updates, new supplies

Budget and Finance – OPEN

• The Budget and Finance Committee shall advise the Board of Directors on financial matters, oversee and help prepare the annual budget.  The committee will coordinate with an independent CPA firm to conduct an annual review of the organization and will report on the results of the review/audit.  The committee will provide ongoing financial planning input throughout the year and may perform such other duties in connection with the finances of NRR as requested by the president.

Youth/Parent Liaison – KAREN THOMSEN/OPEN

• Represent youth program/parent interests to the board and ensure that parents (and when applicable youth) are aware of and understand board decisions or other information that affects them.

• Serve as a resource for youth coaches and assist as need/requested - with communications, race coordination, planning, transportation, etc;

• Coordinate and recruit parents to handle amenities (food, tents, cheering on the team) at regattas;

• Work with coaches and parents to make sure youth have enough water, food, shade, etc at out-of-town regattas

• Assist with and generate youth and parent support for NRR events and fundraising efforts

Safety & Policies Coordinator – KELLY MORGAN

• Maintain first aid kits, rescue equipment, life jacket inventory, other safety supplies

• Oversee NRR compliance with US Rowing SafeSport program

• Organize a Safety/Policies Team to:

• Develop, update and maintain club policy regarding safety issues

o Topics include swim test requirements, lighting requirements, log book procedures, and insurance related safety requirements.

• Provide/post maps of the river and reviewing club’s waiver policy

• Update club rules for boat use—i.e. establish how many hours are required before member moves up to better boats

• Investigate medical issues, for instance, does club need medical disclaimer forms; should members have a doctor’s ok before they are allowed to row; will this apply to all rowers or only those over a certain age

• Understand new rules for non-profit organizations and ensure they are shared with club and followed
