ACTIVITY CALENDAR

The official school calendar will be maintained in I-Cal. An activity request form needs to be completed for all special activities that are held at the school (both school and non-school related). The activity will be posted on I-Cal and the office will maintain these requests in the activity binder. Any scheduling for the use of the multi-purpose room during OR after school hours MUST be approved through the office.

Please be reminded that any non-school related event held on our campus or in our facility requires a USE OF FACILITIES form. Appropriate insurance documentation must also be attached to the facilities form.

ARRIVAL AND DISMISSAL

Staff Supervision: 8:15-8:40

Arrival:

When students arrive at school they are to report to breakfast in the cafeteria and/or the covered play area. Students are to follow the directions given by the cafeteria or duty staff and sit in the assigned/designated areas. They are to keep all belongings with them unless otherwise directed by duty staff. Students arriving at breakfast after 8:35, will be given a “grab and go” to eat in the classroom. Upon dismissal from breakfast, students are to report to the covered play area. On rainy or very cold days, students will go directly to their classrooms or the MPR. Students will be lined up at 8:30 a.m. to meet their teacher and be escorted to class. Students are expected to be in their classrooms by 8:40 ready to work.

Dismissal:

• CAR RIDERS: 2:45 P.M.

Students are to exit the hallway along the cafeteria/multipurpose room to the parent pick up area. Car duty staff will direct students to their vehicle.

• WALKERS/BIKE RIDERS: 2:45 PM

Students who are walkers are to exit school from the closest main hallway from their classroom. Walk-up students will be dismissed at the end of Building 1 after parents have presented their walk-up placard. Students who ride bicycles to school are to exit from the walk-up area.

• BUS RIDERS/PLACE/DAYCARE: 2:50 P.M. PLACE students will be escorted to the cafeteria/MPR. Bus riders and Daycare riders are to be escorted to the bus loading area by a teacher via one of the two main hallways. If a bus is detained or not ready to load, students are to line up and wait until directed to load the bus. Students are to load the bus in a quiet and orderly manner. Administrators and teachers will be assigned to a bus and will be available to provide assistance when required.

ASSEMBLY PROGRAMS

Prior to any assembly/program, please take some time to review expected and appropriate behavior. Students are expected to enter the assembly area quietly and orderly. They are to sit as directed and are expected to demonstrate appropriate audience manners and behavior. Students will exit the assembly area in the same quiet manner after being dismissed by the adult in charge.

ATTENDANCE - STAFF

The work-day for instructional staff is seven and one-half hours each day including lunch. The non-instructional workday is based on a seven-hour day excluding lunch. Please be on time daily. ALL employees work hours are 7:30 A.M. - 3:00 P.M. daily.

All personnel are required to sign in and out each day on the sign in-out sheet located in the office. Signatures on the official time sheets are to be done in ink. (This is a district audit requirement!) It is a school board policy that no personnel shall leave the school campus during the hours of duty without the authorization of the principal.

All instructional absences must be called into sub-central so that a substitute can be obtained if needed. The earlier the absence is logged into the system, the better the chances that a substitute will be hired.

All faculty and staff MUST sign a leave form for county payroll purposes upon their return from an absence. In addition, all out-of-county events, including field trips, require a leave form completed in advance.

ATTENDANCE - STUDENT

Each teacher is to keep a record of students’ attendance on a daily basis. Attendance is to be entered via eSembler. Teachers who have not entered their attendance will receive an e-mail from the district as a reminder with a copy to school administration. Any student arriving after 9:00 a.m. will be entered into eSembler in the office upon arrival. E-mail data entry if a student’s absence is excused. Turn in all notes to data entry at the end of the year.

BUDGET

Each team will receive operating money for instructional materials and supplies primarily through school budget and instructional supply fees. (Parent organization donations or “other” funds may also fall into this category.)

A budget file will be maintained by the bookkeeper. Money allocated from the school budget is to be spent on a requisition basis only.

PLEASE ADHERE TO THE FOLLOWING PROCEDURE ON ALL REQUISITIONS:

1. Use Supply or Equipment Order form to request all supplies, equipment, and materials. (Please list items in sequence as they appear in Warehouse catalog.)

2. Specify on order form which budget is to be used.

3. Language Arts materials are to be approved by the Assistant Principal, prior to being submitted.

4. Instructional supplies in the Warehouse Catalog must be ordered from the Warehouse. You may order other items from the appropriate vendor who has a contract with Pasco County for the current year. (Please see bookkeeper for the name of current vendors and discounts.)

5. Instructional materials may be ordered from outside vendors as needed.

Instructional supply fees, with administrative approval, can be spent in two ways:

1. Bill school directly on an internal accounts purchase order

2. Buy yourself---receipt must be brought to the bookkeeper for reimbursement. (Get tax number from bookkeeper----you will not be reimbursed for any tax you pay.)

CAMPUS PRIDE

We are very proud of our campus and it is the responsibility of all of us to do our part in keeping Pasco Elementary beautiful. Each teacher is responsible for the care and cleanliness of their classroom as it pertains to book storage, shelves, teacher’s desk, etc. To assist our custodial staff, please have students “tidy” up the classroom at the end of each day by doing the following:

• Stack chairs if applicable

• Remove items from the floor (book bags, books, TRASH, etc.)

• Clear off the top of their desks

• Check on keeping shelves, tables, desks orderly at the end of the day

• Place garbage cans by the classroom door

Please make every effort to eliminate classroom clutter as it creates a distraction and could be considered a fire safety issue. Set an example by also tidying up your “teacher” area at the end of each day.

Lounge and storage areas are to be kept NEAT and CLEAN. Trash and food wrappers must be placed in the trashcans. The refrigerators will be cleaned out every Friday. Anything left in the refrigerator will be thrown away. Do not place anything on top of the microwave ovens as this blocks the vents. All spills or stains on carpets are to be reported to custodians immediately.

Please refrain from putting/storing furniture in the hallways. This is a potential safety hazard, adds clutter to the halls and adds wear and tear to the furniture. If you have furniture that needs to be removed, please notify the custodial staff.

CELEBRATIONS

Celebrations may be held to culminate significant learning activities. These should be closely related to the instructional goal of the unit or activities and logged into the activity calendar. Birthday celebrations are strongly discouraged, and class parties should occur on a limited basis during the last 15-20 minutes of the school day. Please clean up after each party. Large plastic bags are available from the custodial staff.

CHILD ABUSE

Though teachers and staff may be reluctant to report child abuse for various reasons, there is a legal requirement to make a report on the child’s behalf. Section 39.201, Florida Statutes, requires that any person who knows or has reasonable cause to suspect, that a child is abused, abandoned or neglected by a parent, legal custodian, care-giver or other person responsible for the child’s welfare, must report such knowledge or suspicion to the DCF toll free hot line. The hot line number is 1-800-962-2873 (24 Hours). Report child abuse cases as soon as they are suspected. Please notify an administrator of the situation once you have made the call.

CLINIC

Children who are ill or hurt at school are sent to the clinic. A completed clinic slip is to be sent with the child, unless an emergency exists. If there is a serious situation, the teacher should contact the office or send a student to the office for the health assistant and an administrator. THE TEACHER IS TO REMAIN WITH THE INJURED OR ILL CHILD AND THE OTHER STUDENTS. In compliance of board policy, only the health assistant or trained personnel may administer medication. Any medication brought to the school must be kept in the clinic.

• Medication Log: maintained in the office in the Clinic for identified students.

• Chronic Illness List: information is provided to staff members each school year by the school nurse. This information is personal and confidential and is to be kept in a secure area to prevent parents, students and other unauthorized individuals from having access.

CRISIS PLAN

A crisis plan is posted next to every doorway. The plan outlines the specific steps necessary to ensure student and staff safety in the event of an emergency on campus. Students and staff will participate in scheduled drills (lockdown, fire and severe weather) to practice safety steps.

CUMULATIVE RECORDS

An important part of our professional duty is to keep a Permanent Cumulative Record on each child enrolled. It is our responsibility to keep these records current and enter only the correct and pertinent information in them are important responsibilities.

a. Records are maintained and checked out from the guidance office.

b. Only authorized persons may study and work with records.

c. Never remove records from building.

d. Never give folders to parents/volunteers.

e. The guidance secretary, principal or assistant principal will check records when a child enters or withdraws. Please refer to the following guidelines:

• Be sure there is a CUM folder for each student in your class! It is the responsibility of the CLASSROOM TEACHER to maintain the student cumulative record.

• Please remember that CUM records are confidential and accessible ONLY for professional use. Do not allow parents, students, or volunteers to help in any way with CUM folders.

• Please do not remove the green hanging file folder from the file cabinets.

• CUM folders are to be kept in the file cabinets in the Guidance Secretary office. You must use the provided forms for checkout of CUM folders.

• At the end of the school year the guidance secretary will provide teachers with guidelines to arrange the contents of the CUM folder in the correct order.

DISCIPLINE

Good school discipline is absolutely necessary if students are going to learn. The goal of discipline is to educate students to change or replace negative behavior. Teachers determine the learning environment in their classroom from the very first day. Classroom rules and consequences are to be posted in each classroom and reviewed on a regular basis. Our school rules/consequences are written in the student planner. The administration will meet with each class at the beginning of the year to review our student handbook AND the Student Code of Conduct for Pasco County.

Students are expected to be Responsible and Respectful throughout the day in all settings. Teachers and students need to be familiar with the Pasco County Code of Student Conduct. Emphasize that school is a “Learning Zone” and misbehavior is not accepted.

Teachers are expected to be the “managers” of student behavior in their classroom. Discipline interventions should include counseling, time out, FREQUENT parent contacts/conferences and guidance/peer counseling services. Teachers are expected to be firm, fair, and use praise and recognition to change student behavior. Parents are the best resource you have for improving student behavior. PARENTS ARE TO BE NOTIFIED OF PERSISTENT PROBLEMS PRIOR TO AN OFFICE REFERRAL.

Positive Behavior Reinforcement

• Panther Points – Students earn panther points by “being caught” following a specific rule. Staff members will receive panther points throughout the year. Students may spend their points on items from the school store or save their points for quarterly programs/activities.

• Principal 200 Club – Students earn a Principal 200 card by consistently following the school rules. These students are considered role models. Students who receive a 200 Club card receive a note home and a Principal 200 club pencil.

• Citizen of the Month – Each teacher selects one student from his/her class to be honored at a monthly breakfast.

TEN TIPS FOR DISCIPLINE

1. Be sure to praise and compliment students. SMILE!!!!

2. Begin your classes promptly.

3. Be well planned and organized.

4. Be consistent.

5. Know when to overlook - don’t seek trouble.

6. Treat students fairly according to your rules.

7. Get to know your students and their parents. Establish a positive relationship with parents and they will support you.

8. Don’t back students into a corner by placing them in such a position that their only resort to save face is to strike back verbally or physically.

9. Reprimand a student or class PRIVATELY. Shouting is distracting and is not effective.

10. KEEP YOUR SENSE OF HUMOR!

DRESS

School Board Policy states “employees will dress in a manner that will add dignity to the educational profession.” Attire is the most powerful image a professional can project to the public. It is the responsibility of each employee to come to work in attire, which will enhance his/her self-image with students and colleagues. We are engaged in the business of education, and therefore, the district school board does not expect their employees to come to work in casual or sloppy attire.

• PES Spirit Days - Pay days (every other Friday) are designated as PES Team Spirit Days. Faculty and staff may wear appropriate, dress (excluding tight/formfitting) jeans with a school, team or thematic shirt.

• Casual dress such as appropriate jeans and/or shorts (loose and fingertip length) may only be worn on FIELD DAYS and/or other planned and pre approved outdoor activities, specific FIELD TRIPS and PLANNING DAYS when there are no student/parent contacts such as conferences.

• Professional appearance is expected for district office meetings and trainings.

• Rule of Thumb...If you have any doubt...don’t wear it!

School Board policy also states “visible body piercings and tattoos that are offensive to community standards will be restricted”.

EARLY DISMISSAL OF STUDENTS

Parents who come for children during school hours are to report to the office. The office will notify the teacher to send the child to the office. The teacher is not to dismiss a child directly to the parent from the classroom.

General Fee: $5.00

Art Fee: $1.00

Special Proj. Fee: $6.00 (as needed for various project materials)

Pre-printed receipts will be provided for returning students and blank receipts for new students.

FIELD TRIPS

Field trips must be approved by the administration and District School Board PRIOR to making plans. Please submit an Activities Request form prior to making other arrangements. The teacher in charge of the trip is responsible for completing ALL of the necessary forms and making sure they are completed ON TIME!!!

Field trip requests requiring bus transportation (county) must be filled out far enough in advance (4 weeks) to allow sufficient time to be sent to the school board for approval. If Charter Buses are to be the mode of transportation, consult with the bookkeeper prior to making any commitments or arrangements. Out-of-county field trips require a leave form for school staff.

Reminders:

• Every student going on a field trip must return a Parent Release form signed by the parent or guardian. These forms may be obtained from the office. The original form is to be turned in to the office and the copy is taken with the teacher on the field trip.

• Please leave cell phone numbers with the office prior to departing.

• The cafeteria must be notified at least two weeks prior to a field trip, so there is adequate time to order food and be assured of its arrival.

• Appropriate attire is expected on any field trip. You are representing PES!

• All approved field trips are to be posted on the activity calendar in the office.

• No field trips are to be scheduled during FCAT Writes, FCAT, or SAT.

• When a field trip is scheduled, notify special area teachers of your classes’ absence.

• Each team will submit a Field Trip Action Plan, which will include dates, location, cost, and outcome/objective for any proposed trip.

• If behavior, work, etc., is a condition of participation, it must be clearly stated AND understood by students and parents.

• Financial assistance is only available on a VERY LIMITED basis. PLEASE do not ask for help at the last minute. Cost should always be carefully considered prior to scheduling a field trip.

GRADE BOOK

In addition to recording progress for each student, this book is to contain a record of student attendance. When maintaining student grades, make sure you have an adequate amount of grades to justify giving students a specific grade (ex. Student receives a D on report card but they only have 4 grades in that subject for the quarter). In the course of nine weeks you should have more than just tests to base a students grade on. You may also want to record any books/textbooks issued to students in your grade book. Volunteers and students are not to have access to grade books.

HOMEWORK

The purpose of homework is to reinforce academic skills that have been taught in order to provide additional practice. Homework assignments are to be reasonable, purposeful, and meaningful to the student. Homework is not to be used as punishment or serve as “busy” work. Teachers need to communicate their homework policy to parents so they, too, can support our efforts.

Grade levels should establish guidelines for homework assignments to ensure consistency and fairness from class to class.

Guidelines for Teachers:

1. Homework is defined as any schoolwork that is required to be done outside of the regular instructional day, and includes assignments of short-term and long-term duration.

2. Homework assessment and grading procedures must be clearly defined and communicated to students and parents.

3. Grades for homework should have a limited effect in determining a student's final grade.

4. Each homework assignment should have clearly stated purposes and be an extension of class work.

5. Reading each night and keeping a reading log should be daily homework for all students.

6. Homework should be age-appropriate in terms of content, activities, and length of assignment. 

7. Homework should be assigned with awareness of the home resources available to a student and the family.

8. Homework shall not be assigned for disciplinary purposes.

9. Homework on the weekend is not encouraged. It is recommended that students only be assigned reading on the weekend.

Average Homework Time: Average homework times are suggested only and are not meant to be minimum or maximum times.  The time varies with the subject area, content matter, teacher, the student's ability, and the complexity of the assigned task. Grades 2-5 assignments should include reading, math and/or content area. Students’ reading records should be checked daily. Take special projects into consideration when assigning homework. Students should be held accountable for completing assigned homework.

LESSON PLANS

Intentional planning leads to intentional learning. Plans are to be kept in a visible area on the teacher’s desk and maintained IN the teacher’s classroom until they are due to be turned in to administration. Lesson plans will be monitored throughout the year during the regularly scheduled “walkthroughs”. Lesson plans are to be submitted at the end of each month (unless otherwise requested) and will be filed and maintained in the office as an “audit” item.

LESSON PLANS (SUBSTITUTE)

It is important to have a folder of information available for a substitute in case of an emergency absence. Although substitutes are expected to follow regular lesson plans, the substitute folder should contain the following information:

1. Provide the substitute with clear and definite assignments.

2. General expectations and classroom rules;

3. A list of daily routines/procedures (morning routines, lunch, restroom use, outdoor recess, dismissal, etc.);

4. Student rosters along with pertinent medical concerns and instructional needs;

5. Your daily schedule (special schedules for students – resource, speech, etc.);

6. Location of books, A.V. equipment needed, etc.;

7. Suggested classroom helpers;

8. Emergency procedures (fire drill, lock down, etc.);

9. Name and room number of a colleague who might help a substitute teacher; and

10. A set of emergency lesson plans (at least three days) submitted to Grade Level Administrator by September 6, 2013.

Include other important information the substitute would need if he/she walked into a classroom 15 minutes before the students arrived. The folder should be easily identified, kept current, and be submitted to the team facilitator or administration.

LUNCH MONEY

The cafeteria manager/assistant manager will collect lunch money daily in the designated area in the cafeteria. Students are to pay for lunch before going to class. Children who forget their lunch money may charge on a limited basis. A breakfast and lunch menu will be distributed monthly. No additional food is to be served to students until one hour after the lunch period ends each day.

MAILBOXES

Each employee is provided with a mailbox. Please check the mailbox twice daily for memos, mail, or messages. Please do not use your mailbox for storage. Students are not permitted access to the mailboxes.

MAINTENANCE REQUESTS

Request for repairs are to be made on a maintenance request form available in the office and submitted to the administration for approval.

MEDIA CENTER

The Media Center is open throughout the day for student book check-out, research lessons and classroom access to the media lab. Teachers and staff are encouraged to help out in the media during class check-outs. The media assistant is also available to provide support as needed.

MEETINGS/MEETING SCHEDULE

All meetings are noted on the monthly calendar (I-Cal) and on the weekly “Week-at-a-Peek” publication. All scheduled meetings, unless otherwise stated, begin at 7:30 a.m. in the designated area. SBIT meetings will start at 7:40 a.m.

All staff members are expected to attend all scheduled meetings unless otherwise stated.

IMPORTANT: PLEASE REVIEW THE MONTHLY CALENDARS, WEEK-AT-A-PEEK SCHEDULES, LISTEN TO ANNOUNCEMENTS, AND READ YOUR E-MAIL SO YOU CAN PLAN ACCORDINGLY. WE ALL HAVE A LOT TO DO AND YOUR PROMPTNESS IS EXPECTED.

PERSONNEL ASSESSMENT

The principal and/or assistant principal will be responsible for evaluating instructional and non-instructional staff. Observations are conducted throughout the year in order for your formal evaluation(s) to be a reflection of your actual teaching performance.

In addition to the above, teachers are required to complete a Deliberate Practice Goal. This is to be completed at the beginning of the school year and then reviewed by both the teacher and an administrator. Conferences will be scheduled throughout the year to review/monitor the teacher’s deliberate practice goal.

Monitoring Plan:

The administration will review the following:

• Lesson Plans (SSS, Reading, Writing, Math, Science strategies/interventions)

• Grade Book (grade sheets, etc.)

• Student data reports

• Progress Monitoring Plans for identified students

• Deliberate Practice Protocol

• Student writing samples (journals, summarizing, TOTD, extend/refine, etc.)

• Implementation of best practices strategies

Monitoring will take place both informally and formally, including the scheduled data review sessions. The purpose of our monitoring is to:

• Keep our student profile data current

• Effectively utilize our resources

• Meet student needs

• Drive instruction

• Positively impact student achievement

NOTICES/LETTERS SENT HOME

All class/team notices sent home are to be approved by the principal or the assistant principal. After approval, a copy of the letter is given to the secretary to ensure parents receive accurate information if they call with questions. All communication from the school will be sent home on Wednesday in a red communication folder. This includes graded papers, newsletters, team information and notices.

PARENT INVOLVEMENT:

Parent involvement has been proven to positively impact student achievement. Conferences are the best way to enlist parent support to let parents know how much their involvement is needed. Teachers are encouraged to meet with parents as often as possible.

Keep the following in mind when conferring with parents:

1. Welcome them AND their input.

2. Stress the importance of their role.

3. Be open to their ideas. LISTEN!!!!!

4. Know what you want to accomplish before the conference begins.

5. Remember that changes take place in small steps not in giant leaps.

6 Never hesitate to call parents. Phones are available for this purpose.

Parent contacts are to be documented. NCR conference forms are available in the office.

PLANNING TIME

Planning is driven by data with the end in mind---what do students need to know, understand AND be able to do? Planning time is available at the beginning of the instructional day and during the instructional day. Each team/grade level is provided a required scheduled time for planning and includes scheduled times to meet with instructional coaches and or administration. This time is strictly reserved for planning. Planning is to begin on time and the entire block is to be used for instructional planning. During this time, instructional coaches and/or administrators will present information related to instruction. The grade level facilitator is responsible for developing an agenda and maintaining focus during instructional planning. All grade-level planning meetings must have a curriculum and learning focus – the development of written lesson plans and instructional presentations, not business (field trips, distribution of information, etc.). Business items should be addressed at team meetings and/or through emails.

PORTFOLIOS

Each student in K-5 will have an electronic portfolio maintained through Pasco Star, which houses data from common assessments. Students who are not meeting grade level standards in R, W, M or S will have a Progress-Monitoring Portfolio. The portfolio should provide a clear picture of the child’s progress, interventions, and monitoring notes/assessments. The portfolios are maintained in the classroom. The assistant principal will provide additional information regarding the use and contents of the progress- monitoring portfolio.

PROGRESS REPORTS

Progress reports are issued to all students in order to communicate student progress toward meeting grade level standards. Please follow the school calendar for sending Progress Reports home.

REPORT SYSTEM/REPORT CARDS:

All students will receive a quarterly report card. Each team/level will work together to develop a grading criteria, which is connected to the curriculum and grade level standards. Teachers, Parents, and Students will be fully aware of the established criteria at the beginning of each grading period. Documentation must be provided as evidence in support of any grades.

The Information Services Help Desk/Trainers will issue a help desk ticket and attempt to resolve the issue. Issues may be resolved through verbal instruction or remote access by the help desk staff. When a help desk ticket is issued the individual will receive an immediate email confirming that a ticket has been issued. There will be continued emails throughout the Help Desk process as the issue is resolved.

Any issue that is not resolved by the Information Services Help Desk/Trainers will be escalated to the Technology Services Technicians or to Network Services for Network related issues. A Technician may resolve the issue by verbal instruction, remote access or on-site support.

Any issue that is not resolved by the Technician will be escalated to the Technology Services Specialists. The Specialists may resolve the issue through verbal instruction, remote access or on-site support.

Any issue that is not resolved by the Specialists will be escalated to the District support team. The District support team may resolve the issue through verbal instruction, remote access or on-site support.

TELEPHONES

Telephones are to be used for school purposes only. No personal long distance calls of any nature may be charged to the school. If you need assistance with the telephone system, please notify the office. Teachers are requested to minimize classroom-to-classroom calls during the instructional day. Telephone messages for staff will be placed in mailboxes or communicated via E-Mail. Staff members will be contacted during class time only in case of emergency.

If students are designated to answer your classroom telephone, PLEASE HAVE THEM DO SO PROPERLY. DO NOT ALLOW STUDENTS TO USE THE TELEPHONE WITHOUT CLOSE SUPERVISION!!!!!

CELL PHONES

Cell phone use by staff is to be done on a very limited basis and never during student contact time. Please advise friends/family members of your “available” times (morning planning, specials, lunch, etc.) to accept calls. Our students need our undivided attention and supervision.

VISITORS

School security is a priority and is everyone’s job!! All visitors must report to the office and are required to be processed through the RAPTOR System. Parents are not allowed to pick up children from the classroom. Students are not allowed to bring friends or relatives to school. Contact the office when you see someone on campus without a visitor’s badge.

VOLUNTEER PROGRAM:

Volunteers can provide that extra pair of hands to:

o Reinforce skills taught in the classroom.

o Help give students more individual attention.

o Help students develop a more positive attitude toward themselves, school, and academic achievement.

o Help improve a student’s motivation for learning.

o Relieve teachers of many non-teaching duties, to lighten the load.

o Build a better understanding of school needs and problems.

o Provide an opportunity for parents, businesses, and others in the community to participate in the school program.

o Bring enrichment into the school curriculum through the talents and background of people within the community.

o Develop intergenerational understanding and harmony.

o Assist parents in learning to help their own children and realizing the importance of close harmony between school and home.

WHAT ARE MY RESPONSIBILITIES TO A VOLUNTEER?

You are the key person in guiding the practical learning experiences of volunteers. The following suggestions are included to help make the best use of teacher’s supervision within the limits of time available:

o Meet with the volunteer initially when you have no students in the classroom and can take the time to explain your classroom procedures and schedule, your expectations, where materials and supplies are stored, where purses and other personal items can be placed during volunteer time, where the volunteer will be working, etc.

o Prepare the students for the volunteer. Let them know volunteers are unpaid and are here because they want to be.

o Plan for their work in advance. A written plan for volunteers to follow may be useful, especially should you be busy when they arrive. Be prepared. Remember volunteers have frequently given up other activities to come in to help.

o Use a special folder for each volunteer, so he/she will be able to begin without waiting for your instructions.

o Identify students who need assistance. Make certain the students are not embarrassed, but consider the attention a privilege.

o Let the volunteer know what to expect from the students, their special needs and what limits to set, being cautious about confidential matters.

o Plan for tasks requiring more skill and responsibility as the volunteer’s capacity increases.

Important Notes...............from The Bookkeeper

SIGNATURES

All official signatures must be in INK. This includes, but is not limited to, sign-in sheets and monies collected forms. Do not write in ink over a pencil signature. Write to the side, above or below if you can’t erase. When crossing out mistakes, always initial to the side.

SIGN-IN SHEETS

The District Office REQUIRES that sign-in sheets be completed accurately and on a timely basis. They are a primary piece of documentation to substantiate paying you. If you are away from school, enter IS for in-service, SL for sick leave, PL for personal leave, TD if you are working elsewhere (ie. attending a conference or meeting). Do not leave blank spaces on work-days. In addition, each sign-in sheet must be filled out, signed and initialed in INK.

MONIES COLLECTED FORMS (MIS #170)

A monies collected form is required for any money for any purpose that is turned in to the bookkeeper. Money will not be accepted without this form. Use a separate form for each purpose (i.e. one for supply fees, one for field trips, etc.). These forms MUST BE FILLED OUT AND SIGNED IN INK. The date required (just to the right of the signature line) is the date you turn the money in to the bookkeeper. Place the money and the form in an envelope to prevent loss and/or mix-up before giving it to the bookkeeper. These forms are considered official receipts and have to be treated as such. You will keep the pink copy. A copy of the monies collected form along with a receipt from the bookkeeper will be returned to you for your records. If a student/parent requests a receipt, please contact the bookkeeper and one will be prepared. NO MONEY IS TO BE LEFT IN YOUR AREA OVERNIGHT. Turn in all money collected on a daily basis by 10:00 AM.

ORDER FORMS:

Be sure to put the date, your name, and from what monies these orders are to be taken on all Supply Order Forms. All supply order forms that do not meet these requirements will be returned to you. When the product is received, you be notified via E-Mail or a note in your mailbox. Large items will be handled by the custodial staff.

• Warehouse: These forms are used to order supplies and/or materials from the District Office Warehouse. Warehouse order forms are purple and are in the bookkeeper’s office.

A supply order form for supplies from the District Office warehouse is to be completed with information exactly as it is listed in the warehouse catalog. Please use care in order to prevent ordering the wrong supplies. When the supplies are received from the warehouse, they will be delivered to your classroom or put in your mailbox. Please don’t forget to place your name on the order form. If you don’t find an item in the warehouse catalog, please ask for an Office Depot catalog.

• Outside Vendor: A yellow supply order form from an outside vendor is almost exactly the same procedure; just a little more detailed. In addition to the normal information required, please put in the left margin near the left edge of the paper, the page number in the catalog you are using on which the item can be found. Frequently, inadequate information about the product is put on the supply order form and being able to locate it is a time saver. The Purchasing Department at the District Office will return purchase orders that are incomplete, thereby delaying your orders.
