Overview

This manual covers how to do the following in regards to viewing scanned images:

Access

Utilize the Grid

Navigate

View

Annotate

What is WebNow?

WebNow allows you to easily access scanned images of documents through a WebNow button in SIS. WebNow runs using java (.) It is advised to stay up to date with the most recent version of Java; however, check with your LAN staff before installing.

Currently the following offices are scanning images of most documents:

● Undergraduate Admissions

● Financial Aid

● Office of the Registrar

Accessing Imaged Documents in WebNow

To access imaged documents found in WebNow, follow the steps below:

|Step |Action |

| |Log in to SIS. |

| |Navigate to a SIS page that contains a [Webnow] button. |

| |Search for the desired student. |

| |On the SIS page, click the [pic] button found in upper right corner of page. |

| |Note: If you have access, a [WebNow] button appears on the SIS |

| |page whether or not the ‘student’ has imaged documents. |

| |Result: Imaged documents for that student display. |

| |Open the document you want to view. |

| |Navigate, View, and/or Annotate as needed. |

| |When done viewing that document or navigating between that student’s documents, close the WebNow Viewer. |

| |If you are done with that student’s document grid and you are going to view a different student’s documents, close that |

| |student’s grid window. |

| |When you are done using WebNow, click ‘disconnect’ on the grid page. |

Utilizing the Document Grid, WebNow Explorer

The grid displays imaged documents associated with that student you were viewing in SIS. You can customize your grid to display only certain headings, and to change the sort order and column order and width. To open a document, double click on the document row.

Modifying Temporary Grid View Options

Column Headings Displayed

To change the column headings displayed in the WebNow grid, follow the steps below:

| |Click Columns button, [pic]. |

| |Uncheck the column headings you do not want to display. |

| |Check the column headings you want to display in your grid. |

| |Click [OK]. |

Column Heading Order

To change the order of the grid column headings, follow the steps below:

|Step |Action |

| |Click on the heading you want to move. |

| |Drag the heading to the new location. |

| |Release the mouse button. |

Column Width

To change the width of a column, follow the steps below:

|Step |Action |

| |Point to the right margin of the heading until you see the double pointed arrow. |

| |Click and drag to desired column width. |

| |Release the mouse button. |

Row Sort Order

You can modify the order of the documents displayed in your grid (e.g. by date, doc type…). To change the sort order of the grid rows, follow the steps below:

| |Click on the heading you want to sort by. |

| |Click on the heading again to sort in opposite order: ascending ▲or descending▼. |

Document Grid Toolbar

Once a document is selected in the grid, the Document Grid Toolbar (also know as the Explorer Toolbar) becomes available providing shortcuts for working with documents.

The table below describes the buttons found on the WebNow Grid Toolbar:

|[pic] |Email* |Emails a WebNow link only usable to those with appropriate WebNow access. |

|[pic] |Print* |Prints the displayed document based on print options selected. |

|[pic] |Properties |Shows properties of selected or displayed document. |

| | |In the Viewer, access properties using: Properties icon, Keyboard [F7], Menu >View |

| | |>Properties, or the Status Bar. |

|[pic] |Notes |Creates or opens a note that is attached to selected document. |

| | |Notes can be edited by anyone at any time. |

| |[pic] |Tip: Within Notes, click the timestamp icon to add your ID, date & time to top of notes, type|

| | |your notes after. |

| | |Notes are viewable and editable from the Grid using the Notes icon or right clicking on the |

| | |row as well as within the Viewer using [F7] or >View >Properties. |

*Note: Option may not be available due to your security.

Viewing a Document

Opening a Document

To view an actual imaged document, follow the steps below:

|Step |Action |

| |Access WebNow. |

| |Result: A grid will display with the student’s imaged documents. |

| |Double click on the desired document. |

| |-OR– |

| |Select the desired document. |

| |Click the ‘Open Document’ button [pic]. |

| |Result: The document will open in the WebNow Viewer. |

Navigating within an Open Document

Once you are viewing an imaged document, the Navigate toolbar is used to move between documents and pages of a document.

Click desired button to navigate.

Note: Button availability is based on the number of documents and

the number of pages within a document.

The table below describes the buttons found on the Navigate toolbar:

| | |Note: If viewing the first document in a list, |

| | |selecting this will display the last document. |

|[pic] |First Page |Displays first page of current document. |

|[pic] |Previous Page |Displays previous page of current document. |

|[pic] |Select Page |Displays current document’s page number. |

| | |Tip: Click drop-down list and select desired page to view. |

|[pic] |Next Page |Displays next page of current document. |

|[pic] |Last Page |Displays last page of current document. |

|[pic] |Next Document |Displays next document in grid. |

| | |Note: If viewing the last document in a list, |

| | |selecting this will display the first document. |

Note: If the Navigate toolbar is not displaying, select >View >Toolbars >Navigate.

Tips: The status bar displays the number of pages in the document. (>View >Status Bar)

Once you have opened or looked at multiple pages of a document, you can use the Viewer’s Window menu to view more than one page at a time (Tile or Cascade).

Displaying and Using Thumbnails

An additional navigation and viewing option allows you to view Thumbnails of all the pages in a document; thereby allowing you to easily see how many pages are within each document.

• To turn Thumbnails on and off, use the

menu path >View >Thumbnails or [F9].

• To switch between thumb nail sizes,

select small or large thumbnails.

• To switch to a different page, double-click on the desired thumbnail page image.

• To reorder pages, select the page you wish to move, right click, select ‘Reorder’, select option (begining, end or after page x) & [OK].

Viewing Options

Once you are viewing an imaged document, the View toolbar is used to change the orientation and magnification of the document. Click desired button to change view.

Note: If the View toolbar is not displaying, select >View >Toolbars >View.

Tips: To move an image around:

Enlarging an Area of an Image

You can quickly zoom in on a particular area of an image. To do so, follow the steps below:

| |Right click and drag a square around the area you want to zoom in on. |

| |Release the mouse. |

| |Result: The area selected will enlarge. |

Saving a Rotation View

If an image is saved in the wrong orientation, you can save it correctly as follows:

|Step |Action |

| |In the Viewer, rotate the document until it is in a readable orientation. |

| |Select >View >Rotate >Save Image Rotation to Server. |

| |Result: The image rotation is saved as well as the annotation being rotated. |

Saving a View ‘Fit’ Option

To change the default image ‘fit’, follow the steps below:

|Step |Action |

| |In the WebNow Viewer, |

| |select from the menu >File >Options. |

| |Select the desired Default image size: |

| |Click [OK]. |

| |Note: Once you close the Viewer and reopen it, the new default will be in place. |

Note: Fit Image is the default setting.

Working with Annotations

Annotations allow you to enter comments and marks over imaged documents without affecting the original image. When using annotations, remember that imaged documents can be pulled as public record; therefore, keep personal notes in a separate location.

To add, edit, or delete an annotation on a displayed image, follow the steps below:

| |To add an annotation: |

| |Right click on the desired annotation toolbar button and select desired option. |

| |-OR- Click on desired annotation tool (defaults to last used option). |

| |Click or click and drag to create annotation. |

| |To edit an annotation: |

| |Click on the Select Annotation toolbar button. [pic] |

| |Right click on displayed annotation and select Appearance or Properties. |

| |-OR- Double click on annotation. |

| |Select desired option on left menu of annotation dialog box. |

| |View or change options. |

| |Click [OK]. |

| |Warning: You can only edit annotations you just made while still viewing that doc. |

| |To move or resize an annotation: |

| |Click on the Select Annotation toolbar button. [pic] |

| |Click on the annotation you wish to move/size. |

| |If you want to resize it, click and drag a black square corner of selected object. |

| |If you want to move it, click the middle of the object and drag to desired location. |

| |Warning: You can only edit annotations you just made while still viewing that doc. |

| |To delete one annotation: |

| |Click on the Select Annotation toolbar button. [pic] |

| |Right click on annotation and select ‘Delete’. |

| |– OR – Select annotation and press [Delete]. |

| |Click [Yes] to delete message. |

| |-OR- |

| |To delete ALL annotations: |

| |From the menu, select >Annotation >Select All. |

| |Press [Delete] – OR –. Select from the menu >Annotation >Delete. |

| |Click [Yes]. |

| |Warning: You can only delete annotations you just made while still viewing that doc. |

| |To temporarily hide all annotations, click Hide Annotation button. |

| |To show all annotations, click Show Annotation button |

| |– OR – >Annotation >Show Annotations. |

The table below describes the buttons found on the Annotations toolbar:

Note: If the annotate toolbar is not displaying, select >View >Toolbars >Annotate.

Tip: Right click on the annotation toolbar item to see all that item’s options.

Appendix

Viewer Options

Within the WebNow Viewer, by selecting >File >Options, you can control smoother images, the default image size, and when another viewer window will open. Select desired options and click [OK]. See below:

Once you close the Viewer and reopen it, the new default options will be in place.

Viewing Toolbar Tooltips

If you want to point to a toolbar icon and see its description, follow the steps below:

Note: The help covers more content than your security allows.

Loading Java

WebNow uses java to run.

If some of the WebNow features don’t seem to be working correctly, (like unable to move edited text annotations), you may want to load the most current version of Java found at . It is advised to stay up to date with the most recent version of Java; however, check with your LAN staff before installing.

After clicking on a [pic] button on a SIS page, you will log in to WebNow using your NetID and password. You will then see the WebNow grid with the student’s documents:
